Terms and Conditions
The following terms and conditions are set out to help all parties be aware of and clear about the services provided for their wedding day and the responsibilities of all parties involved. Weddings are filmed as they happen with no retakes normally possible. It is this spontaneity that makes them so special and memorable.
The booking form and these terms and conditions, form an integral part of the booking contract and there will be no variation unless accepted in writing by both parties.
Payment
[1] The Booking Fee is payable by you on agreeing to these terms and conditions. This will be deducted from the final balance payable by you. The booking is not finalised until the booking fee has been paid. Provisional bookings are not accepted.
[2] The balance of the Package Fee is to be paid by you on or before the wedding day. The balance can be paid in cash or via bank transfer prior to the wedding date. Should the balance be paid in cash this should be arranged for the morning of the wedding day. Should the package fee not be paid we reserve the right to withdraw the service and consider the contract cancelled.
[3] A travelling fee may occur for areas outside of Leinster. For some locations, accommodation may be required also, this should be discussed before booking.
[4] A separate fee will be charged for all additional services not included in the package such as additional DVDs, USBs or products in accordance with our current price list. The price of any additional services must be paid in full before delivery. A separate fee will be charged should the client require changes to the finished product.
Your Wedding
[5] Retig Productions is appointed by you as the exclusive videographer for the wedding.
[6] In the unlikely event of severe medical, natural, or other emergencies, it may be necessary to retain an alternative videographer. Retig Productions will make every effort to secure a replacement videographer of the same professional standing and ability able and/or willing to provide a similar package as chosen in this contract at the same/similar price. If such a situation should occur and a suitable replacement is not found, responsibility and liability are limited to the return of all payments received.
[7] Coverage will include the items/events listed in the package. Any special request not notified on the booking form must be made by you to us in writing prior to the wedding.
[8] Reasonable efforts are taken to film key family members. No responsibility is accepted for any specific individuals missing from the video, for whatever reason. However, we will attempt to meet reasonable requests. You will be responsible for (or have someone designated for this responsibility) identifying people/objects of whom/which specific footage is desired. We will not be held accountable for not filming desired people/objects if there is no one to assist in identifying or gathering people. You are also responsible for identifying any individual(s) that does not desire to be filmed, although this may be unavoidable.
[9] If video coverage is greater than 5 hours, we would appreciate if you could provide us with a hot meal. It is very important that this be served at the same time as any other food is served to guests. Vendor meals provided at any other time i.e. at the end of guest service may affect what footage we are able available to capture.
[10] It is your responsibility to ensure that we are made aware of when the speeches are going to take place and that we are given sufficient time to prepare for the speeches. We will not be held responsible for lost footage if speeches commence without first checking if we are ready. If speeches are between meals please make us aware prior to your wedding day.
[11] We will discuss with you your general requirements and wishes in relation to your wedding film. You should be aware that it may not be possible for these to be followed due to factors such as weather conditions, lighting conditions, the subjects being filmed and time constraints.
[12] The use of drones is subject to flight conditions, IAA regulations, safety, a suitable location, and sufficient time on the wedding day. We will use the drone at our artistic discretion.
[13] We are limited by the rules & guidelines of the ceremony official and the reception manager. The Clients agree to accept the technical results of their imposition on the videographer. Negotiations with officials for the moderation of guidelines is your responsibility.
[14] To capture high-quality audio, we use a number of discrete microphones. We cannot be held responsible for situations where the ceremony official or reception manager does not allow reasonable provisions for the use of such equipment.
[15] While every effort is made to capture high-quality audio during the speeches and ceremony, we cannot be held responsible for factors beyond our control such as wireless interference from venue microphones.
[16] Depending on the type of package and coverage, videography will commence at either 10:30am for packages including Bridal preparation. (This may be later depending on ceremony start time, Lauren will discuss on pre-wedding call) or 1 hour before the start of ceremony. Videography will finish approximately 20 minutes after the first dance or at 10:30pm, whichever comes first. Additional coverage after the first dance, or 10:30pm, will incur an additional cost of €50 per additional half hour. An invoice will be issued and sent to your email after your wedding. All filming will cease no later than midnight. (Discretion will be used if only a few minutes delay)
[17] Weddings should be happy and relaxed occasions but the cooperation of you and your guests is essential in ensuring that the videography goes smoothly, the best results are obtained, and your goals achieved.
[18] Every effort will be made to provide an accurate rendition of colour balance but this may not always be possible due to factors such as lighting conditions and digital sensor limitations. Certain venue lighting such as pink, purple or blue can result in unavoidable colour casts in the final product. We may use external lighting at our discretion to facilitate a better visual outcome.
Changes
[19] You acknowledge that you are familiar with our portfolio and are requesting services with knowledge of our style; that our work is constantly evolving; that our services are of unique and artistic nature; that the video may be different from videos produced by us in the past; and that in creating the Video, we shall use our personal artistic judgement to create a video consistent with our personal vision of the day.
[20] For copyright reasons, we will choose the music for the highlight film. We will ensure it fits the feel and flow of the film. If there is any particular music you would like to be included in your documentary style film please let us know before your wedding day. We will advise you if there are any particular issues with your choice. If no specific music is requested we will choose appropriate music.
After Your Wedding
[21] We strive to have your highlight film to you within 10-12 weeks after your Wedding Day and up to 12-14 weeks for the Documentary style film, speeches and ceremony edit. (This may vary depending on time of year). Lauren will discuss timings & dates of delivery on the pre-wedding call.
[22] You will receive your final films through a website to view, share and download your films.
[23] Personalised USB sticks containing your final films available upon request (additional charge applies).
[24] We retain the copyright of all materials recorded by them and it is not our policy to offer the raw footage to couples or third parties.
[25] All other re-edits or any additional changes will be charged at the rate of €75.00 per hour of editing time.
[26] Footage will be retained for 12 months following delivery of your finished product. After this time I cannot guarantee footage or videos will be available.
[27] We reserve the right to use or display any images or video created as part of this Contract as part of our portfolio, at exhibitions, for marketing purposes, or in online galleries. Should the client wish their footage to remain private this should be agreed in writing prior to booking via email and in the comments section below.
Cancellations
[28] You may cancel the Contract at any time by notice in writing (Email will suffice). All deposits are non-refundable if a booking is cancelled.
[29] If you book us for a certain date but then need to reschedule your wedding to another date, the booking will be accepted only if that new date is available.
[30] If you cancel your booking within 90 days of your wedding date, you will be invoiced for half of the remaining balance. If you cancel your booking within 28 days of the wedding date, you will be invoiced for the full remaining balance.
